The Active Jobs data view enables you to easily manage all shortlisted candidates for a job.
The Active Job view includes menus/options for:
- Tagging candidates to the Job from multiple sources such as desktop, internal database, Job Boards
- Viewing job details, exporting the active job summary to MS Excel
- Tracking candidate status such as changing, editing, rolling back status etc.
- Tracking follow-ups via creating followup tasks, setting priority, followup tags, flags etc.
- Common actions on candidates including sending email, submitting resumes to client, exporting the candidate list to MS Excel
- Managing candidate calling/screening via the Call Manager tool.
- Viewing communication history with specific candidates
- Viewing trail of actions performed on candidates.
- Shortlisting candidate for another Job
- Removing candidates (de-shortlisting) from the Job
Common Tasks
- Change recruitment status for candidates
- Add followup comments for a candidate
- Rollback candidates to the previous stage/status.

1. Change recruitment status for candidates
Use the menu bar available in the Candidate List (bottom) pane for performing recruitment actions on candidates in a job:
- Tick each candidate and then in the menu bar in the bottom pane, point to 'Edit' and select 'Change Status'.
- If 'Validate Contact Information' dialog is displayed, check & validate the contact details of candidate if required.
- In 'Update Status' dialog select the new status from the 'New Status' dialog.
- Enter any comments if required in the 'Comment' text box and then click the OK button.
2. Add followup comments for a candidate
In the Candidate List pane for the Job:
- Tick the candidate and then in the menu bar in the bottom pane, point to 'Edit' and select 'Edit Comments (Current Status)'.
- In the Edit Comments dialog add the comments in the 'Comments' box & click OK.
3. Rollback candidates to the previous stage/status
In the Candidate List pane for the Job:
- Tick the candidate and then in the menu bar in the bottom pane, point to 'Edit' and select 'Rollback Last Status Change'.
- In the Rollback Status Change dialog click on the 'Rollback' tab. This will show the status to which the candidate will be rolled back. Enter any comments if desired and then click 'OK'.
4. Add status flags to shortlisted candidates
In the Candidate List pane for the Job:
- Tick each candidate and then in the menu bar in the bottom pane, point to 'Edit' and select 'Change Status'.
- If 'Validate Contact Information' dialog is displayed, check & validate the contact details of candidates.
- In the 'Update Status' dialog click on the 'Contact' tab and select the desired followup flags from the drop-downs such as 'Priority', 'Interest Level', 'Telephonic'/'Email' contact status etc.
- Click on OK to update the followup status.
5. Add a task for candidate followup
- In Job Activity page select one or more shortlisted candidates and from the Tools menu in the candidate list pane click on 'Add Task'.
You can also use the 'Followup Task' tab available in the 'Update Candidate Status' dialog for this when changing the recruitment status of a candidate.
- Specify the details such as activity, date, time etc.
- Tick the 'Set Reminder' check-box and specify a date and time for the reminder notification (if required) and click 'Save'.
6. Send email to candidates related to job details, interview schedule etc.
In the Main WorkBench:
- Tick the 5 candidates to whom email is to be sent.
- Point to 'Actions' menu and select 'Communicate with Candidates'.
- If the "Validate Contact Details" dialog comes up check the details and click on "Mark Valid".
- In the 'Communicate with Candidate' dialog from the 'Template' drop-down, select the email template "Request for Updated Resume" or if you've created your own template then select that. The template content will be displayed in the "Subject" & body sections.
- From the 'Action' drop-down select 'Send' if you want to send the emails immediately, if you want to save them in Drafts folder for sending later select 'Save Draft'. Click OK.
7. Automatically send JD file in mail to candidates
To do this, you first need to attach a JD file to the Job.
- Follow the steps explained in the task "Add a Job Description (JD) file when creating a job" <task-link>.
In Candidate List pane for the Job:
- Tick the candidates to whom to send the mail.
- Point to the Actions menu and select 'Communicate with Candidates'.
- If the "Validate Contact Details" dialog comes up check the details and click on "Mark Valid".
- In the 'Communicate with Candidate' dialog from the 'Template' drop-down, select the email template "Notification about exciting new position" or if you've created your own template then select that. The template content will be displayed in the "Subject" & body sections.
- From the 'Action' drop-down select 'Send' if you want to send the emails immediately, if you want to save them in Drafts folder for sending later select 'Save Draft'.
- Click OK.
8. Submit candidates to client
In the Candidate List pane:
- Filter the candidate list on 'Stage/Status' column by selecting 'To Be Submitted' status.
- Tick the candidates from the list and then in the menu bar in the bottom pane, point to 'Actions' and select 'Submit Candidates'.
- In 'Submit Candidates' dialog click the Email tab & select the email template to use for generating the email to the client.
- From the 'Action' drop-down select 'Send' if you want to send the email immediately, 'Edit' if you want to preview the generated email or if you want to save it in the Drafts folder for sending later select 'Save Draft'. Click OK.
9. Use Call Manager for screening candidates
You can use the Call Manager for effective call management & followups of candidates. You can open a separate Call Manager SPanel for each job.
In the Active Job view:
- Select row of the job for which to view the Call Manager from the list pane.
- In the bottom (Candidate List) pane, from the Tools menu, select 'Call Manager'. This will launch the Call Manager SPanel for the job.
- The list of shortlisted candidates will be displayed in the Call Manager. Select the candidates to followup/update status and use the 'Actions', 'Tools' menus for performing the desired options.
- Once you perform an update, the details of this will be shown just below the names of each candidate in the list for quick reference and further followup.
10. View recruitment history of all candidates in a Job
Talenture RS enables you to view the full recruitment history of all the candidates in any given Job along with actions performed, date/time of action, user who performed the action etc.
- Click on a Active or Closed Job to view its detail screen.
- Click on the 'Rec. History' tab. This will show details of each candidate shortlisted for the Job alongwith current status, user who performed each action etc.
This will show a window listing all actions that have been performed on the candidate for the job with details such as recruiter name, date/time of action, action done, comments etc.
- Click on the 'Full Data' link in the top-right corner of the 'Recruitment history' section to view more details of each action.
11. Shortlist candidates directly from one job for another job
In the Candidate List pane for the Job:
- Tick the candidates from the list and then in the menu bar in the bottom pane, point to 'Edit' and select 'Shortlist for Another Job'.
- In the dialog that comes up select the job & click OK.
12. Remove candidates from a job shortlist
In the Candidate List pane for the Job:
- Tick the candidate from the list and then in the menu bar in the bottom pane, point to 'Edit' and select 'Remove (De-shortlist) from Job'.
- In the dialog that comes up click OK to confirm.
