Summary
This document explains how to export attachment files from your email messages in bulk from Microsoft Outlook.
You may require to do this in case you want to migrate your existing resume data in the form of email attachments existing in your MS Outlook mail into the Talenture RS database.
1. Process
Carry out the following steps for exporting attachment files from your email messages in Microsoft Outlook to the computer hard disk.
1.0 In MS Outlook point to the PSAN Addin toolbar and select ‘Tools->Export Attachments’.
1.1. Next to the ‘Email folder’ field click on the browse button (button with icon of ‘…’) and select the Outlook folder from which to export the attachments.
1.2 This will show a window with the list of your Outlook folders.
You can expand ‘Personal Folders’ and select a specific folder from which to export attachments, for e.g. the ‘Inbox’ folder, or if you want to export from all folders then click on ‘Personal Folders’. Then click ‘Select…’.
1.3 In the ‘Attachment File Extension’ section tick the attachment file extensions which should be exported. Here you can select the common resume file extensions i.e. ‘.doc’, ‘.rtf’, ‘.htm’, ‘.txt’, ‘.pdf’, ‘.eml’ as shown in screenshot below:
1.4 In the ‘Export Options’ if you want to process messages for a specific duration click on the ‘Process messages by days’ drop-down and select the desired period. To export all messages select ‘All’ as shown in screenshot below:
1.5 Tick ‘Sent Messages’ if you want to export from send messages also. Normally, when importing resume files you would want to import from only the received messages, for example resumes received from candidates, job boards etc.
1.6 Tick ‘Do not process messages which have already been exported’ if may been exported in an earlier export operation. For example, if you started an export process earlier and cancelled it midway.
1.7 Next to the ‘Disk folder’ field click on the browse button (button with icon of ‘…’) and select the folder on your computer hard disk to export the attachments.
1.8 Select the destination folder and click ‘OK’.
1.9 Tick the ‘Create new folder’ check box to create a new disk folder in the location that you selected.
Tick ‘Use or create folder structure’, if you want the folder hierarchy existing under your selected Outlook source folder to be replicated on the hard disk when exporting the attachment files.
1.10 Click the ‘Export’ button to start the export process. This will start the process and will display the progress of the export operation. Once it is complete the following confirmation dialog will be shown with a summary of the export done.
